Provides assistance to the Clerk and Chief Deputy Clerk in coordinating, administering and supervising all the real property records in Sedgwick County. Supervises the Document Corrections department of the County Clerk’s office; participates in hiring and firing of respective personnel. Reports directly to Office Manager.
Manage, train, guide, develop and coach staff.
+ Trains, coaches and supervises staff in the duties of Document Corrections and office procedures and techniques
+ Trains, coaches and supervises staff in the duties of Real Estate Records and office prodedures and techniques
+ Manages employee work schedules, reviews time entry and approve/deny leave requests, documents disciplinary actions.
+ Prepares and reviews employee evaluations.
+ Creates training manuals for various processes in tax software
Supervises the creation of real estate transfer record
+ From Register of Deeds’ recorded documents and court records; supervises and participates in the production of current land records pertaining to change in ownership, mailing address and changes in legal descriptions
+ Participates in the production of departmental records, statistical reports, computerized maps, handbooks, lists, databases and files, general correspondence
+ Reviews and inspects subordinates’ work to ensure accuracy
+ Edits and approves the annexations mapped by the GIS department for the County Clerk’s layer of information.
Supervises the dissemination of information available online via the Aumentum tax system, transfer books, plats and quarter section maps.
+ Provides information to Treasurer’s Office and Tax Foreclosure Department pertaining to real estate ownership and/or status.
+ Researches ownership history using diverse methods, including manual and electronic transfer books, the Register of Deed’s (ROD/RMS) records management system, the 18th Judicial District’s Full Court System. Extensive research in Full Court may be required to obtain locations, case numbers, probate cases, divorce cases, civil quiet title actions, and redemption of rights pertaining to real property. Contacts title companies, attorneys, and individual taxpayers to ensure clear title/accurate information is reflected on tax roll for taxation purposes.
Minimum Qualifications: Bachelor's Degree from an accredited college or university in Public, or Businss Administration. Five years of experience providing quality service in an office setting, supervisory training and experience; advanced knowledge of office equipment and practices. Proficient in use of Microsoft Office, oral and written communication, valid Kansas driver’s license.
Preferred Qualifications: Bachelor’s Degree from an accredited college or university with major course work in Business or Public Administration Political Science or a related field. Five years of experience providing quality service in an office setting. Skilled in reading and understanding legal descrip tions of real property and mapping; knowledge of the principles, practices, policies, procedures, terminology and equipment in area of expertise; skilled in the use of Aumentum tax software, Register of Deeds’ Records Management software (RODRMS), GIS map portal, Full Court, Orion, Canon map printer and microfilm machines.
