Executive Assistant, Foundation


Job Duties

The Executive Assistant reports to the Vice President of Institutional Advancement (VPIA) and is responsible for the daily operations of the college and foundation’s chief advancement officer and is responsible for developing and supporting administrative and budgetary management processes for the VPIA and Advancement staff. The Executive Assistant is responsible for the management of the Butler Community College Foundation’s Board of Directors. The Executive Assistant also provides critical support for program management and records management activities within the division. Exceptional customer service, current technology skills and ability to work with limited supervision essential.

Required knowledge and skills

A. Accounting or bookkeeping experience.B. Strong computer skills in MS Office.C. Ability to learn new programs to fulfill the responsibilities associated with gift processing.D. Must demonstrate an understanding of charitable contributions substantiation and disclosure requirements.E. Must have the ability to think strategically, to analyze current practices, identify benchmarks and implement continuous quality improvement processes.F. Must be detail-oriented and possess strong time management skills.G. Must be personable and able to meet the public and prospective donors in a friendly and professional manner.H. Must possess strong organizational skills and work independently.I. Must possess problem solving abilities and have high regard for ethical conduct and sensitivity to confidential records.J. Must have highly developed written and verbal communication skills.


Required experience

A. Demonstrated experience in accounts receivable and accounts payable, orbookkeeping, preferably in a foundation or not-for-profit setting.B. Previous experience in an administrative assistant or office support position.C. Experience with Raiser’s Edge and Auction Maestro Pro software, preferred.

Associate’s degree required; Bachelor’s degree prefer re
