ASM Global Director of Events - INTRUST Bank Arena in Wichita, Kansas

Summary

Leads the Event Services department including Event Manager, Event Coordinator, Guest Experience Manager, Event Security, 24-hour security, Sheriff’s officers, and stagehands. Additionally, oversee 3rd party subcontractors including 24-hour on-site security at INTRUST Bank Arena, event/t-shirt security, show runners, and EMS while ensuring safety and security of facility on event days and non-event days. Provide support to Capitol Federal Amphitheater as requested.

Responsibilities:

  • Serve as event lead for specific events as needed.

  • Assign event leads and Manager on Duty on an on-going basis and distribute monthly event calendar.

  • Plan, organize and assign assignments for the Department personnel including Event Manager, Guest Experience Manager, and security account managers.

  • Ensure successful event coordination activities by supervising and training event staff.

  • Be a resource for event coordination, services, and event staffing, Manager on Duty schedules, security, crowd and risk management, law enforcement, fire, and safety personnel; and ADA compliance.

  • Ensure Event Services departmental expenses and contracted labor involved with all events is submitted timely per each event.

  • Prepare estimated annual department budget along with capital requests.

  • Coordinate with marketing department all media entry into the building before, during or immediately following events.

  • Maintain our brand image and generate positive public relations with guest and staff.

  • Negotiate sales and other services the facility may be able to provide for events and work closely with GM, Director of Sales, and the Booking Department.

  • Develop operating procedures customized to the specific needs of the facility and consistent with the goals and objectives of the client, venue and ASM Global.

  • Manage, coach and counsel subordinate supervisors who oversee employees in various functions.

  • Attend weekly director meetings. Conduct quarterly security committee meetings, weekly production meetings, department meetings and event security meetings to discuss procedures, problems, and changes. Develop and maintain a harmonious working relationship with all facility departments.

  • Ensure all codes, laws, ordinances, policies, procedures, risk management, safety precautions, rules, regulations, and emergency procedures are followed. Develop program to train all employees on fire/life safety and emergency procedures.

  • Implement procedures within the department to establish and maintain customer service standards that are designed to ensure a positive and professional image and generate repeat business.

  • Authorize the requisition of equipment and supplies within budget guidelines.

  • Assist in the preparation and negotiation of service agreements for event services security, event staffing, IATSE (stagehands), and other agreements as needed. Review contracts for compliance with event and/or government specifications and suitability for occupancy.

  • Act as liaison between IATSE and the venue and assist however needed in contract negotiations and on-boarding of IATSE to ASM Global payroll.

  • Act as liaison between tenants, facility contractors and county emergency personnel as needed.

  • Develop and implement emergency procedures, and safety and risk management policies.

  • Assist in the preparation and implementation of our internal employee training.

  • Responsible for organizing and leading self-promoted community events.

  • Assist as needed and/or lead First Aide/CPR/AED training for all full-time staff and supervisors, including third party event partners.

  • Lead Active shooter, bomb threat and severe weather training along with tabletop discussions.

  • Lead venue security committee and participate in safety committee.

  • Work with Events Department staff to schedule and coordinate K-9 units for bomb detection sweeps as requested.

  • Serve as facility liaison with all local emergency authorities and coordinate and encourage on-site trainings.

  • Work extended and/or irregular hours including nights, weekends and holidays as needed.

  • Support ASM Global at Capitol Federal Amphitheater by providing event-related support both for advance calls and day of show, along with possible setup and teardown of events.

  • Position requires the ability to work at all local ASM Global venues.

  • Other duties as assigned.

Supervisory Responsibilities:

Directly supervise Events Team, Guest Experience, Security staff, stagehands, and event-related contractors. Carry out supervisory responsibilities in accordance with ASM Global’s policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding; disciplining employees in conjunction with Human Resources; addressing complaints and resolving problems.

Qualifications:

  • Demonstrate knowledge in operational procedures, facility capabilities, industry terminology, event-related services, and technical requirements for the types of events anticipated at the facility.

  • Possess skills and experience in contract negotiations, business law, budget preparation, labor relations, purchasing procedures and supervising/training personnel.

  • Engage in much decision making that is generally governed by procedure and guided by policy.

  • Possess any licenses, certificates or training required by local, state, or national authorities for the operation of the equipment found in the facility.

  • Operate equipment such as light trucks, pallet jacks, forklifts, or other light power-driven equipment.

  • Operate a personal computer using Windows, Microsoft Office, event software and ABIMM for payroll.

  • Operate portable radio and standard office equipment including phone, copier and fax machine.

  • Follow oral and written instructions and communicate effectively with others in both oral and written form.

  • Organize and prioritize work to meet deadlines.

  • Work effectively under pressure and/or stringent schedule and produce accurate results.

  • Maintain an effective working relationship with clients, employees, patrons, and others encountered in the course of employment.

  • Be licensed and insured to operate a motor vehicle in the United States.

  • Remain flexible and adjust to situations as they occur.

  • Must be able to pass background/credit check.

Education and/or Experience

  • Bachelor’s degree from accredited four-year college or university.

  • Five to seven years related experience and/or training in the public assembly industry or combination of education and experience.

  • Management experience, preferred, or supervisory experience.

  • Experience working with 24-hour in-house security, preferred.

Skills and Abilities:

  • Excellent communication and interpersonal skills and organizational ability.

  • Ability to anticipate problems and implement immediate corrective action.

  • Considerable knowledge of safety regulations and other federal, state, or local laws and regulations.

  • Strong orientation towards hospitality/customer service for entertainment industry.

  • Effective supervisory skills. Ability to deal effectively with personnel problems; to deal constructively with conflict; to motivate, provide counsel and execute applicable solutions.

  • Experience with AutoCAD preferred.

  • Proficiency in Microsoft Office including Excel, Word, PowerPoint, and Outlook.

Other Qualifications:

  • Ability to prioritize multiple projects and meet strict deadlines.

  • Ability to work under minimal supervision.

  • Ability to work flexible hours, including nights, weekends, and holidays in addition to normal business hours as needed.

  • Must have professional attitude and appearance.

Physical Demands:

This position requires sitting, keyboarding, finger dexterity, ability to use radio (walkie talkie), walking, standing, stooping and may require lifting up to 55 lbs, substantial standing and walking.
