This job was posted by https://www.kansasworks.com : For more information, please see: https://www.kansasworks.com/ada/r/jobs/11280974 Essential FunctionsPerform administrative activities including but not limited to managing Outlook calendars, scheduling meetings and preparing correspondence to assist the VP and/or assigned directors in Institutional Relations, Professional Relations and Medical Economics. Judgment and initiative required in responding to phone, text and email inquiries as well as reviewing email in determining to personally respond to correspondence if needed for VP or decide if forwarding to another department/division within the corporation is necessary for a response.Responsible for all administrative duties to include handling confidential matters (i.e., confidential corporate information, divisional personnel salary information, personnel issues, etc.), budgeting, record keeping, preparing reports, appointments, conferences, agendas, planning, business itineraries, coordinating travel requirements and other general activities of the division as needed.Authority to approve expenses on behalf of VP as directed in their absence through the My Blue View system. Ability to take minutes and publish to team members via the TEAMs tool or email as requested. Responsible for the preparation of Steering Committee and BCBSKS Board materials for Steering Committee meetings weekly and ahead of Board meetings as well as maintenance of files/preparation of materials for other meetings, conferences, etc.Participates in budget preparation as needed by the VP.Responsible for the establishment and maintenance of a filing system for the VP if needed for hard copy file retention as well as creating and maintaining email subject topic folders for easy access and retrieval of information quickly as needed. Also includes use of emails as a reminder pending system for VP for any outstanding action items. Must be able to quickly read through multiple sets Responsible for handling Board Member inquiries expeditiously and in a professional manner.The work area must be conducive to working on confidential matters. Must be flexible and able to complete the work required in a timely and accurate manner to ensure efficient and expedient workflow. Required to use a personal computer up to 90% of the day.QualificationsA high school diploma with at least five years of administrative and/or secretarial experience, is required. Advanced knowledge of personal computing, MS Office Suite applications, and internet options/sites.Math proficiency is necessary. Strong attention to detail.Excellent written and verbal communication skills, including editing.Ability to interact cooperatively and effectively with all areas and levels of the organization, including without limitation the Board of Directors and the executive leadership team and their support staff.Experience working with staff in other divisions of the corporation, and knowledge of activities performed by all divisions within the organization is preferred. Excellent organizational skills and the ability to prioritize and re-prioritize often to meet deadlines.Strong project management skills with ability to manage multiple projects simultaneously and to consistently meet deadlines with high-quality work product in a fast-paced environment.Must be able to work independently. Knowledge of the budget and cost reporting process is preferred. Must maintain low record of unscheduled absences.Proficiency in self-awareness, self-regulation, motivation, empathy, and social skills necessary to carry out duties in a professional manner.
