The purpose of this role is to provide administrative support for APC Sublette, KS location.

JOB QUALIFICATIONS:

Education:

Minimum of H.S. Diploma / G.E.D., 2- or 4-year degree desirable.

Experience:

Minimum of two (2) years of experience in an office environment, providing administrative support.

JOB DUTIES:

  • Collaborate with Human Resource to assist with hiring processes

  • Schedule physicals and drug screens

  • Schedule and create an agenda for the first week of orientation

  • Complete Federal Form I-9 correctly and within federal time constraints.

  • Field general questions about employment

  • Monitors, tracks, orders, processes PO’s and processes invoices for payment.

  • Enters codes and weights from the bill of lading into the ERP system.

  • Coordination of Plant Services

  • Landscaping

  • Snow Removal

  • Uniforms

  • Janitorial

  • Compiles monthly inventory report for the Corporate Accounting Department

  • Maintains hard copy and electronic filing systems.

  • Responsible for preparing for annual safety audits, records minutes of monthly safety meetings and distributes to staff; and maintains safety manuals and OSHA logs.

  • Completes accounting form to closes out Capital Projects.

  • Responsible for typing correspondence and keeping accurate notes, files, records, and reports; including reports such as operations reports, wastewater reports and others.

  • Monitors and orders office, employee, and vending supplies.

  • Prepares credit card receipts for monthly purchase card processing.

  • Completes data entry into preventative maintenance system.

  • Complies with and follows company food safety and quality policies.

  • Sorts and routes incoming mail and prepares for the outgoing mail.

  • Maintains file for USDA documentation on export shipments.

  • May be responsible for backing up warehouse personnel by checking for shipments, printing and posting order pick lists, and handling outbound bills of lading.

  • May assist with Lab responsibilities as needed, including backing up plant Quality Control.

  • Quality Control Lab Technician or other qualified personnel will cover for the absence of the Administrative Assistant.

  • Project Work as assigned.

JOB REQUIREMENTS:

  • Communicate effectively and professionally interact with plant personnel, sales staff, customer service and other internal and external customers maintaining the best interest of the company at all times.

  • Excellent verbal and written communications skills required in both English and Spanish.

BASIC MENTAL REQUIREMENTS:

This job requires the mental ability to perform duties listed, including, but not limited to strong organizational skills, attention to detail and the ability to work with a variety of people are required to accomplish job duties. Must possess the capability to learn, comprehend, and communicate, both verbally and in writing. Furthermore, logical thinking and common sense in organization are essential in performing this job function.

WORKING CONDITIONS AND EXPOSURES:

General office working conditions exist within a food manufacturing process environment. Minimal contact with plant maintenance areas. May include exposure to temperature changes from below zero to extreme heat. Exposure to high noise levels, moving machinery/equipment, moving throughout the building to different processing areas and wet floors. Position may include some extended periods of computer work and extended hours during peak periods of activity.
