Pittsburg State University is accepting applications for an Accounting Specialist in the Cashiers and Student Accounts department. The primary function of the Accounting Specialist is to provide accounting support and assist with administrative duties to accomplish the fiscal work of the Cashiers and Student Accounts Office to ensure compliance with University and State of Kansas policies and procedures. This position is responsible for the entry, coding and audit of cash receipt transactions, and support to University satellite cashiering stations and depositing departments. This position will support students, parents and University staff with student account transactions, including assessment, scholarship and financial aid disbursement, and refunds or payment.
Duties and Responsibilities
- (30%) Manage all central billing processes, including the monthly student statement, detailed billing requests, and all third-party sponsor billings. An in-depth knowledge of the student account and Transact billing process will be required.
{=html} <!-- --> - (25%) Perform collection activities, including internal collection efforts and assignment of accounts to external collection agencies and State of Kansas Setoff. An in-depth knowledge of the student account and University payment plan policy and system is required. Collection efforts including communication of past due balances via past due reminders, collection calls, and University holds will be monitored by this position.
{=html} <!-- --> - (15%) This position will be a secondary point of contact from the Cashiers and Student Accounts Office for students, parents, and other third parties, as appropriate. An in-depth knowledge of University policy and processes is crucial, along with an attention to detail. A thorough understanding of the Universitys subsidiary student accounts receivable system and the underlying accounting is necessary. This position will be required to analyze student account transactions and balances for accuracy and respond to student inquiries. A basic understanding of federal financial assistance will be necessary to assist students, along with an understanding of federal financial aid disbursement regulations and University disbursement processes. Provide assistance to persons with inquiries regarding the Universitys 1098-T, and its availability on the GUS portal. A focus on customer service and providing students with a positive experience is critical as a part of the Universitys efforts to recruit and retain students. Many student and parent inquiries are via email. This position must be able to respond with accurate and appropriate information while projecting a positive and friendly demeanor for Pittsburg State.
{=html} <!-- --> - (10%) Process and receive all types of University cash receipt transactions. Responsible for the audit of transactions to determine the accurate coding into the University and State of Kansas accounting system, compliance with applicable University and State of Kansas policies and procedures, and the appropriate reporting and collection of state sales tax.
{=html} <!-- --> - (5%) Manage a cash drawer with a high degree of accuracy while ensuring the physical security of University assets. This position requires an in-depth knowledge of the Universitys daily balancing procedures. Responsible for balancing the cash drawer daily and documenting any discrepancies. Prepare a bank deposit for their cashier station based on a daily balancing report, and the bank deposit journal entry.
{=html} <!-- --> - (5%) Provide customer support for University staff with questions, concerns, or issues related to cash receipts and University or State of Kansas policy. This position will respond to questions and requests for information from University offices regarding cash and deposit procedures, and collection of state sales tax.
