Primary Objectives of Position: Primary Objectives of Position:

The Career Advisor, under the Workforce Program Director\'s supervision, manages one or more multiple job functions such as the intake, enrollment, and case management process for participants eligible for Workforce Innovation and Opportunity Act (WIOA) and related programs. This role involves supporting job seekers in gaining and retaining employment, maintaining participant records, facilitating workshops, and coordinating with internal and external stakeholders. The position requires adaptability and the ability to efficiently handle multiple responsibilities in a dynamic environment.

Enrollment Specialist Function

Referral Management:

Receive all eligibility referrals, ensuring that internal referrals are accompanied by the necessary referral form.

Track referrals using the Tracker on Communications & Outreach system to monitor progress and ensure timely follow-up.

Sends and tracks Adult Education referrals as part of the enrollment process as needed.

Participant Recruitment:

Assist in recruiting potential participants through outreach efforts and informational sessions as needed.

Provide information on Labor Market Information (LMI) and ONET data to potential participants, offering insights into employment trends and opportunities.

Eligibility Assessment:

Collect documentation from participants to determine eligibility for the program.

Perform assessments based on eligibility criteria and program requirements.

Provides training information to participants interested in occupational skills training or Work Based Learning opportunities.

Enrollment Process:

Guide participants through the enrollment process, explaining program expectations and benefits.

Upload eligibility documentation to the KANSASWORKS account for review and approval.

Send completed enrollment packages for eligibility approval to leadership.

Collaborate with Career Advisors (CA) on Work-Based Learning (WBL) enrollments, ensuring participants are prepared for employment start dates.

Coordination and Collaboration:

Coordinate with Career Services on workshop schedules and participant engagement activities.

Facilitate warm handoffs of approved participants to Career Advisors, ensuring continuity of support.

Partnership Referrals:

Refer participants to external partners based on initial assessments and identified needs.

Maintain communication with partners to facilitate seamless referrals and support services for participants.

Career Advisor Function

Participant File Management:

Maintain complete and accurate participant files, ensuring all required documentation is up-to-date and organized for easy access.

Data Entry and System Work:

Enter participant information and updates into the designated systems, including but not limited to Case Noting, Individual Employment Plans (IEP/ISS), MSG (Measurable Skills Gain), credential tracking.

Update and revise the Service and Training (S&T) plans for participants as needed based on progress and goals.

Performs exits as needed to participants no longer needing services

Participant Contact:

Conduct regular 30-day check-ins with all active participants to assess progress, address challenges, and provide support as needed.

Conduct regular 90-day check-ins with participants in follow-up and provide case management as needed.
