The HR Assistant will provide administrative support to HR, Payroll, and Finance and respond to all government agencies and private funding inquiries for demographic, salary and information.
The HR Assistant is also responsible for the accurate and timely processing of payroll and all tasks related to the maintenance, processing and reporting of payroll, financial and human resources.
Job Duties:
Maintain close working relationship with Vice President of Human Resources to provide support for the maintenance of personnel files and general HR processes.
Provide accurate and effective document preparation and records management relative to the payroll and HR functions
Provides all compliance reporting (OSHA, EEO, Demographic/Grant information)
Process new employee onboarding, employee terminations and other payroll changes
Verify personnel information, timekeeping records (timesheets) and consult employees about any discrepancies
Calculate, reconcile, run reports, and post payroll, including the maintenance of system administration, employee deductions, paid time off (PTO), FMLA, 401K, tax withholdings (W4, W2, 1095), Unemployment Insurance, Leaves of Absence and Health and Welfare benefits
Compliance reporting for 401K, Workers Compensation, EEO and OSHA
Prepare and submit timely and accurate bi-weekly payroll
Record payroll data in HRIS payroll system and verify all data before submitting payroll
Record and verify employee work/PTO hours
Process biweekly payroll within established deadlines, using the payroll software system
Reconcile monthly benefit invoices to payroll records
Assist at front desk as needed
Additional projects and job duties as assigned by HR and Finance
Work under stressful conditions as well as irregular hours may be required
Additional Skills & Qualifications:
HR Experience
Knowledge of HRIS systems
Knowledge of basic accounting principles, regulatory standards, and compliance requirements
High degree of accuracy, attention to detail and confidentiality
Proficiency in MS Office
Ability to process formulas in Excel and basic ability to perform spreadsheet programs
Strong analytical and problem-solving skills
Effective written and oral communication skills
Ability and experience working productively and proactively both independently and as part of a team
Flexibility in approach and willingness to adapt when necessary
Up to date on human resources and finance regulations
Proficient with Excel and database programs
Strong interpersonal skill and ability to interact in a positive manner
Prolonged sitting or standing may be required
Ability to lift to 25 pounds; occasionally up to 60 pounds
Those physical movements and the degree of mobility, manual dexterity and hand-eye coordination normally associated with office work will be performed on a repetitive basis
The ability to distinguish letters and symbols as well as the ability to utilize telephones, computer terminals and copiers is required
All employees must be fully vaccinated against COVID 19
