What You Will Achieve

This role will work closely with the Sr. Administrative Assistant to provide administrative support for the Site and Site Leadership Team in terms of assuring reports, correspondence, projects, etc., are completed in a timely and efficient manner. This includes scheduling meetings and appointments; developing custom spreadsheets, presentations, Word documents and travel arrangements as requested. This role will enter and reconcile requisitions and run financial reports. The role has a high level of visibility across and external to site.

This role will focus primarily on supporting business leaders. Strong communication and collaboration skills are critical to this role and to ensure an efficient operation. This role will coordinate services either internally or through an outsourced service. They will be responsible for managing records and files, verifying data, responding to mails and scheduling meetings, amongst other things.

How You Will Achieve It

  • Handle all duties with a high degree of integrity, professionalism, and confidentiality.

  • Create agendas and schedule and plan meetings across multiple calendars, including engagement of above site leadership.

  • Assemble PowerPoint or other presentation materials and plan / arrange for any meals/refreshments needed.

  • Organize travel arrangements, reconcile expense reports, an provide interface for applications for Corporate AE cards, passports, and visas as necessary.

  • Organize documents and maintain an inventory of electronic and hard copy files allowing for easy access.

  • Manage purchase orders through Pfizer's Ariba system and tracking invoices.

  • Support Sr. Admin Assistant with set-up and logistics for large or off-site meetings.

  • Contribute ideas, fostering pace and enthusiasm, negotiating timely execution of work.

  • Suggest process improvements for administrative tasks carried out across the site.

  • Facilitate resolution of issues and problems that arise within scope of responsibilities.

  • Provide administrative support and serve as backup administrative support for other departments, when necessary

  • Take personal accountability for quality of own work and professional development.

Qualifications

Must-Have

  • High School Diploma or GED

  • 4+ years' experience

  • Demonstrated planning and organizing skills

  • Demonstrated administrative experience with an ability to carry out all office functions proficiently, and to complete quality work on a timely basis

  • Excellent attention to detail and interpersonal skills

  • Excellent judgment as well as the ability to work with confidential documents and information

  • Proficiency in Microsoft Office Suite required, especially PowerPoint, Excel, Word, and other features

Nice-to-Have

  • Prior experience as an Administrative Assistant or providing administrative support to managers or supervisors.

  • Knowledge of the pharmaceutical industry and healthcare environment

  • Exposure to SAP, Ariba, Concur

PHYSICAL/MENTAL REQUIREMENTS

Decisions require complex analytical judgment. Plan and perform a wide variety of duties requiring general knowledge of company policies and procedures applicable within area of responsibilities and including their application to cases not previously covered. Requires considerable judgment to work independently toward general results, devise methods, modify or adapt standard procedures to meet different conditions, make decisions based on precedent and company policies.

NON-STANDARD WORK SCHEDULE, TRAVEL OR ENVIRONMENT REQUIREMENTS

May require limited off hours work as operations schedule dictates. Limited Travel.
