rAbout This Role:

The primary purpose of this position is to provide administrative and program/project management/office management support to the Vice Provost for Graduate Education and Dean of the Graduate School, the senior leader in the Office of the Provost responsible for leading graduate education strategies.



This position works with the units reporting within the Graduate School and with the university partners, including academic partners, and ensures smooth day-to-day operations and support for the Vice Provost and the broader mission of the Graduate School. This position also coordinates with the Office of the Provost staff as appropriate and serves as the liaison for the Vice Provost to the university Administrative Support Services and academic/non-academic units.



The Program/Project Administrator (Executive Assistant) handles a broad range of activities and works independently, collaboratively, and proactively. The person in this position must be well-organized, flexible, and enjoy the administrative challenges of supporting an office with diverse stakeholders and needs. The position requires the ability to interact in a timely manner, professionally and diplomatically, with a broad range of individuals, including students, faculty, staff, directors, deans, other executive staff, and senior university officials as well as donors, alumni, officials from other universities, and other external stakeholders. The Program/Project Administrator (Executive Assistant) should be a self-starter with the ability to work as a team player, be comfortable working to deadlines, and be flexible, resourceful, and professional. The position requires a high degree of discretion and a commitment to providing excellent service and building positive working relationships internally and externally to the Graduate School.

What You'll Need to Succeed:

Minimum Qualifications:





+ Bachelor's Degree



+ One year related experience such as providing administrative/programmatic support, coordination for an administrator, scheduling/calendar management, support for events, meetings, speaking engagements or special projects, preparation of documents for signature, and communications support. May also include problem-solving and analytical responsibilities.





Preferred Qualifications:





+ Three or more years related administrative experience



+ Demonstrated problem-solving and analytical skills, including the ability to research and analyze administrative problems, make recommendations, and take appropriate courses of action



+ Ability to work independently or as a member of a team with accountability for results



+ Excellent organizational skills with the ability to manage multiple priorities concurrently and pay attention to accuracy, detail, and follow through



+ Demonstrate customer service orientation and strong interpersonal skills including courtesy, professionalism, and a cooperative attitude



+ Proven ability to be inclusive and interact effectively in a diverse, multi-cultural environment with a wide variety of stakeholders



+ Demonstrated ability to be flexible, innovative, and receptive to taking on new or changing responsibilities



+ Demonstrated ability to exercise judgment, tact, and discretion and maintain integrity with sensitive or confidential information



+ Strong oral and written communication skills, including composition and editing



+ Demonstrated project management skills



+ Working knowledge of and ability to learn university policies and procedures



+ High proficiency with technology, including skills with Microsoft Office Suite (specifically Word, Excel, online calendaring/scheduling)
