About This Role:

The Office of General Counsel is seeking an Executive Assistant II who would provide essential support to the Vice President of Legal Affairs and General Counsel, as well as other members of the legal team. The responsibilities include but are not limited to:

  • Providing daily office management support including answering phone calls, monitoring expenses related to budget allocations, composing, and distributing written and electronic correspondence and greeting all visitors to the office.
  • Scheduling and coordinating internal and external meetings, both in-person and via Zoom, including making arrangements, conducting research, and preparing materials.
  • Supplying the General Counsel with supporting files and information in advance of meetings, ensuring awareness of available office materials and files containing legal topics, advisory memoranda, and relevant policies.
  • Conducting initial evaluations of inquiries for specific legal and policy issues, gathering relevant information and necessary documents, and providing information to attorneys for follow-up.
  • Occasionally conducting research on case law, statutory law, regulations, and university policies, and providing results to attorneys.
  • Maintaining a master calendar of client meetings, court deadlines, and other important items.
  • Communicating professionally and discreetly, exercising the highest level of confidentiality in all matters.
  • Assisting in approving and tracking leave requests for direct reports to the General Counsel.
  • Receiving, reviewing, and distributing emails, letters, and memos containing highly privileged and confidential information.

Worksite Options:

This position is eligible for hybrid worksite. Work is performed partially remote and partially on employer premises or designated assignment location. This role is expected to work on-site approximately three (3) days a week.

What You\'ll Need to Succeed:

Minimum Qualifications:

  • Bachelor\'s degree with six (6) years of relevant experience. This position may use an educational equivalency as determined relevant by a hiring manager.

Preferred Qualifications:

  • Six (6) to ten (10) years of relevant experience
  • Proven success providing administrative support and coordination at a department/director/executive level or above including scheduling/calendar management, support for meetings, events, and special projects
  • Superior organizational and project management skills including composition and editing
  • Proven Proficiency of technology including skills with MS Office (Word, Outlook, Excel, PowerPoint Teams, Office 365)
  • Ability to work independently or as a member of a team with accountability of results
  • Demonstrated ability to exercise sound judgement, tact, discretion and maintain high integrity with sensitive and confidential information
  • Knowledge of university policies and procedures
