Optiv Sr. Executive Assistant in Leawood, Kansas

The Senior Executive Assistant provides executive support to the assigned executive leadership. The primary responsibility must be to exercise discretion, professionalism and independent judgment, as well as provide the highest levels of executive support and project management. Work includes scheduling, managing, and disseminating Executives calendar, managing schedule and preparing correspondence. This position requires wide latitude of discretion regarding workflow and priorities, in addition to in-depth knowledge of various executives’ communication styles, methods of operation, and authorities.

How you'll make an impact

  • Manage the day-to-day business activities of (the) executive leaders.

  • Manages extremely active calendar of appointments; completing expense reports; arranging complex and detailed travel plans. Itineraries, and agendas; and compiling documents for travel related meetings.

  • Acts as “gatekeeper” to ensure senior executives schedules are followed and respected.

  • Serve as primary point of contact for internal and external constituencies on matters pertaining to the executive office.

  • Researches, prioritizes and follow up on incoming issues and concerns addressed to the senior executives and determines appropriate course of action, referral or response.

  • Provides a bridge for smooth communication between the executive leaders, office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.

  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting letters, personal correspondence, and other tasks that facilitate the executive ability to effectively lead their organization.

  • Maintain an efficient office environment to include: assisting in the ordering or request of supplies/equipment, arranging for office setup or equipment repairs and coordinating other activities as needed and participating in event planning/catering.

  • Prepare read-ahead material for executives.

  • Summarize correspondence, highlight key issues or topics of interest, and follow up to ensure proper and timely response.

  • Additional duties as assigned.

What we're looking for

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.

  • 7+ years of experience supporting C-Suite or Executives for mid or large size organization.

  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors.

  • Strong level of effective written and verbal communication skills.

  • Strong working knowledge of Microsoft Applications; Word, Excel and PowerPoint.

  • Demonstrated proactive approaches to problem-solving with strong decision making capability.

  • Ability to work in a high demand role with the need to channel your emotions when communicating with all levels of the organization to support the executive.

  • Highly resourceful team-player, with the ability to also be extremely effective independently.

  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.

  • Demonstrated the ability to achieve high performance goals and meet deadlines in a fast-paced work environment.

  • Forward looking thinker, who proactively seeks opportunities and proposes solutions.

  • This person will be hired within the Kansas City metro, and will be in the Leawood office 5 days per week.
