Summary The incumbent functions as primary support for the Assistant Director of the Eastern Kansas VA Health Care System and primary point of contact for the Executive Office for the Leavenworth, KS. Campus. Responsibilities THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION This position involves a multi-grade career ladder. The major duties listed below represent the full performance level of GS-8. At the GS-7 grade level, you will perform assignments of a more limited scope and with less independence. You will progressively acquire the background necessary to perform at the full performance level of GS-8. Promotion is at the discretion of the supervisor and is contingent upon satisfactory performance, availability of higher-level work, and availability of funds. Duties include, but may not be limited to the following: Receives patients and visitors to the Executive Offices; Refers telephone callers to the appropriate party; Provides information regarding the facility and respond to inquiries over the phone; Reviews all outgoing correspondence for format, style, spelling and grammar to ensure their accuracy and correctness; Takes meeting minutes; Makes arrangements for travel using automated travel systems; Maintains an executive appointment calendar; Performs other related duties as assigned. Qualifications Typing Proficiency: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute. In addition to the typing proficiency, all applicants must meet one of the following: To qualify for this position at the GS-7 level, you must have at least one (1) full year of specialized experience equivalent to the next lower grade level (GS-6) in Federal Service, that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties and that is typically in or related to the work of this position? Specialized experience includes performing administrative support functions such as tracking data and statistical information; scheduling appointments; coordinating meetings and conferences; preparing correspondence, reports, memoranda, and other forms of written communication; preparing travel arrangements; utilizing office automation software and maintaining files; receiving visitors and telephone calls to the office. Specialized experience includes providing administrative support to an organization and performing a variety of clerical and administrative duties; drafting a range of communication/correspondence; scheduling appointments and meetings; coordinating travel and conference schedules; serving as a liaison with management and support staff; and utilizing office automation software such as Microsoft Office (Word, Excel, and PowerPoint). At this level, applicants will perform duties independently and exercise sound judgement.
