The Grants Assistant must foster good working relationships, both internally and externally. This position will report to the Assistant Director, Pre-Award Grants Administration.Job Description: Support communication of research related funding announcements and general sponsor news and updates via KUMC Yammer. Process Notices of Award (NOAs) as well as fully executed subawards and contracts for set up. Manage hand-off processes as new awards are moved from Pre-award and Contracts teams to the SPA Post-award team for set-up and management. Coordinate with department administrators in obtaining chair signature(s) on routing sheet for new awards. Responsible for obtaining IACUC and IRB approvals for new awards as well as contracts under negotiation and notifications for Clinical Trials. Responsible for Financial Conflict of Interest certification and training verification as related to grant proposals and awards. Responsible for Amber Road ad-hoc and partner verification for sub awards and consultants as related to grant proposals and awards. Management of debarment and suspension compliance lists systems. Work with Department Administrators to review and submit PI requests to submit post-submission materials. Assist SPA Contracts team with subcontract data entry into Workday financial system Assist SPA Contracts team with tracking of supplier contract approval status in Workday financial system Request annual single audit confirmations from sub-recipients. Process Internal Pilots including set-up of e-binder in departmental storage drive, email notifications, compliance checks, and award processing. Work with pre-award administrators to download, collect, and review other support documents as needed for JIT, RPPR, and proposal submissions. Assist in the close out and final progress report processes of sponsored programs grants: confirming inventions related to project activities, publication compliance, and obtaining effort report. Review and process authorization forms under the direction of the Sponsored Program Administration (SPA) division. Build a knowledge of NCBI to assist department administrators and PIs with publication compliance, as related to annual progress reports. Greenphire Clinical Card study set up, monthly monitoring and maintenance for sponsored programs grants. Analyzing Institutional Review Board (IRB) regulatory documents and consent forms, ensuring current approvals are on file and creating user accounts, as needed. Perform additional Sponsored Programs Administration duties as may be assigned.Required QualificationsResponsibilities will include but are not limited to: assist with subrecipient monitoring; routing of subrecipient documents; collecting and reviewing any needed IACUC and IRB approvals; assist department in maintaining records in accordance with the record retention policy; and assist with month end close.
