Position : Export Order Specialist

Execute order management processes by utilizing DFA's ERP platform (SAP) and communicate information in a timely manner to facilitate order accuracy and delivery of exceptional customer service. Work with cross functional teams to ensure the seamless flow of the Order to Cash process as pertains to order entry for export shipments.

  • Enter orders in SAP within deadlines

  • Maintain orders, as needed, in Trident within deadlines

  • Review Customer Sales Agreements and work with all relevant cross functional teams to ensure DFA's ability to meet proposed requirements

  • Confirm the proper use of Incoterms

  • Keep brokers, sales managers, compliance, management, and other affected associates aware of any situation where processing of a customer order on time and complete is in jeopardy or changes are requested

  • Utilize tools provided to maximize order flow

  • Ensure that all orders are edited for correct pricing, details from the Customer Sales Agreement and/or purchase order are noted in the sales order, and sailing schedule dates are followed

  • Process credit, debit, and return authorization transactions, including obtaining proper authorization for said returns

  • Process all invoice corrections as needed

  • Respond to emails and telephone calls in a timely manner

  • Coordinate with credit and master data departments on customer setup and maintenance

  • Coordinate all international sample orders working closely with plant personnel to ensure procedures are followed and samples are shipped in a timely manner through our Online SharePoint resource

  • Coordinate Denied Party Screening in all necessary compliance scenarios

  • Prepare the Export Open Orders +60 Daily Report

  • Take weekly sales meeting notes and recap to the appropriate stakeholders

  • Manage the documentation, change order, and change control processes of relevant procedures as to the scope of responsibilities assigned/activities delegated for this role

Education and Experience

  • High School Diploma or GED required

  • Bachelor's Degree preferred

  • 1 year of relevant experience, including experience with SAP or other CRM

  • Certification and/or License -- Notary

Knowledge, Skills and Abilities

  • Knowledge of and skill with Microsoft Office Suite and company computer systems, specifically Excel, Word, SAP, Outlook and Salesforce; high proficiency level using Excel in developing tools and analyzing data

  • Knowledge of and skill with Power BI

  • Knowledge of and skill with SharePoint

  • Able to organize time, energy, and resources effectively to achieve goals (i.e., organizational skills)

  • Able to communicate clearly and effectively, both verbally and in writing

  • Able to present in a group setting and lead discussions
