Compiles information, prepares reports and is involved in implementing departmental policies.Job Description:Position Summary:This position provides administrative support to the Office of Medical Education leadership and staff. The position requires a demonstrated ability to multitask and work independently as well as collaboratively. This position reports to the Administrative Officer of the Office of Medical Education.Required qualifications: Bachelor's degree in business administration, education, related field or equivalent work experience. At least 2 years relevant experience in a general office, clerical and/or administrative role. Working knowledge of Microsoft Word and Excel in order to prepare documents and spreadsheets. Ability to handle multiple concurrent projects and maintain accurate record keeping systems with attention to detail. Excellent communication skills, both in person and over the phone. Excellent customer service skills and professional demeanor. Ability and willingness to accept change, work cooperatively with others and contribute to a positive work environment as a team player. Ability to prioritize responsibilities and flex to meet the needs of multiple members of leadership and staff within the office.Preferred qualifications: Experience with making travel arrangements and event planning. Willingness to learn additional computer software (Access, PowerPoint, SharePoint). Previous experience in an administrative role.Job Duties: Greet visitors to the department. Answer phones and receive/relay messages, directing calls to appropriate faculty/staff as needed. Perform administrative and clerical tasks for department leadership and staff such as copying, faxing, filing, etc. Provide support and maintain complex calendars for leadership and staff as requested. Assist leadership and staff with the coordination of meetings and varied activities of the Office of Medical Education, including special and reoccurring events. This may include coordinating meetings, preparing, distributing and maintaining membership rosters, meeting calendars, agenda, minutes, records and reports. Maintain Office of Medical Education calendars and lists (mailing, phone, employee, etc.) Assist in handling the operational tasks necessary to insure smooth and efficient running of the Office of Medical Education. This may include checking office equipment for proper functioning, maintaining supplies and processing requests for work, repairs and service as needed. Under the direction of the Administrative Officer and in coordination with finance office of the School of Medicine, coordinate complex travel arrangements, calendars and itineraries for travel by leadership and staff.
