Position Purpose -

Cargill Meat Solutions has an opportunity available for an Administrative Assistant at our Dodge City, KS facility . The Administrative Assistant will assist the Harvest Team in administrative and clerical functions. Duties will include proxy work on behalf of the front line supervisors, reporting on various aspects of the operations team, and other departmental support. Other duties will include written translations, receiving incoming phone calls, upkeep of departmental bulletin boards and other duties as assigned by the Harvest Manager. Ideal candidates for this position will be self-motivated with the ability to work in a fast paced environment.

Principle Accountabilities -

50%: System Proxy for Front-Line Supervisors Including:

  • Proxy on behalf of Frontline Supervisor: Key in PAF’s (Personnel Action Forms) into Employee Central and/or Kronos (including changes in job title, pay rate, pay rule, supervisor, dept, clock/device group, schedule,etc.) Expectation is to utilize job title manual, and CBA (Collective Bargaining Agreement) to verify changes are correct and be completed by or before effective date to minimize delay and pay issues

  • Timecard Entry on behalf of Frontline Supervisor: Vacations, Personal Holidays, Leave Of Absence, Overtime, Missing Punches, Verifying Hours Worked with the direct Supervisor (adding appropriate edits with comments timely)

  • Accommodation Tracking and Timecard Entry

  • Entering payroll deductions for employee purchases on behalf of Frontline Supervisor (boots, supplies, etc.)

  • Submitting requests on behalf of Frontline Supervisor related to pay questions (backpays, offline requests, etc.)

25%: Departmental Support Including:

  • Updating communication modes for specific area (T.V., bulletin boards, hand-outs)

  • Event Planning

  • Various report tracking and follow up for operations and department team management (i.e. Tracking of PTO, Training, Supplemental Turnover or Engagement Information)

  • Manage process for posting overtime as it relates to the current CBA (Collective Bargaining Unit)

25%: All other duties as assigned

Qualifications

Requirements -

  • High School Diploma or Equivalent

  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, and Power Point).

  • Strong organizational and communication skills

  • Ability to work independently with limited direction

  • Ability to handle confidential information

  • Self-motivated and detail oriented

  • Display strong computer skills

Preferred -

  • 1 Year of Previous Administrative or Clerical Experience

  • Bilingual (English and Spanish)

  • Previous Experience in Manufacturing Environment
